How to Assign and Manage Users and Assignments in the User Groups

Introduction

The User Groups feature of the LMS allows you to organize learners and deliver training at scale. Once a group is created, the next step is populating it with members and assigning relevant training content. This guide walks you through managing group membership via the Users tab and assigning learning paths via the Assignments tab. You will learn how to add, copy, move, and remove users, as well as assign learning paths with specific access dates and due dates.

Steps to Follow

Accessing Users and Assignments Tabs Inside User Groups

This guide covers the core operational tasks for your user groups. Once your group hierarchy is established (as covered in: Overview - Understanding and Navigating the User Groups), you can now add users and assign learning paths.

Follow the steps below to access these tabs:

  1. Navigate to User Groups from the LMS left-side panel.

  2. Click on your newly created group from the list to open its Group Details Page.

  3. You will manage your group users and assignments using the tabs at the top of the group details page:

    1. Users (for adding and managing group members/ users)

    2. Assignments (for assigning learning paths to the group)

On the User Group detail page, the header displays the name of the currently selected group along with the total number of users for quick reference. A dropdown menu also allows you to easily switch to any other existing group.

Accessing and Managing Users

Group users can be added individually or in bulk. This section allows you to view current members, copy users from other groups, or move users between groups. Opening the Users tab displays a table of all members currently assigned to the group. For each user, you can see key information like their Username, Full name, Group Name, Email, Employee ID, Assignments In progress, Viewed, or Passed, License, and Group Join date. Also you will see the following controls to manage your group users:

  • Copy / Move Users: Click Copy users to select and copy users to this group while keeping them in their original groups. Click Move users to select and remove users from their current group and add them to this group.

  • Search Bar: Just type a Username, Full name, or Email here and the table below will instantly update to show only matching results.

  • License Type Filter: Use this dropdown menu to filter the list to show only users with specific license statuses (e.g., All license types, Activated, Assigned, Expired).

  • Table Sorting & Customization: Click desired column header to sort the table in ascending or descending order. Click the Customize Table button next to the table headers to enable or disable which columns are displayed.

  • User Profile: To view full information for any user, simply click on their Username or Full name in the list. This will open their individual User Profile. For more details, see How to Edit a User Profile

  • Remove User: Click the trash can icon from list to remove them individually. To remove users in bulk, select their checkboxes and click the Remove button.

Accessing and Managing Assignments

Learning paths can be assigned to all group members at once. This section allows you to view current assignments, add new learning paths, configure access dates, and track learner progress. Opening the Assignments tab displays a table of all learning paths currently assigned to the group. For each learning path, you can see key information like the LP name, Assignment date, Access opens, Due date, Access closes, and Actions menu. Also you will see the following controls to manage your group assignments:

  • Search Bar: Just type a Learning Path name here and the table below will instantly update to show only matching results.

  • Add learning path: Click Add learning path to open the learning path library and assign a new path to the group. Select the desired learning path and configure access opens, due date, or access closes before confirming.

  • Table Sorting: Click any column header LP name, Assignment date, Access opens, Due date, or Access closes to sort the table in ascending or descending order.

  • LP name: Click any learning path name within the table to access the detailed view of that specific learning path and the user’s progress.

  • Assignment Settings: Click the three-dot icon (⋮) in the Actions column and select Assignments settings to edit the access opens, due date, or access closes for the learning path. For more details, see How to Manage Assignment Settings.

  • Users Progress: Click the three-dot icon (⋮) in the Actions column and select Users progress to view detailed progress reports for all group members on this learning path.

  • Unassign: Click the three-dot icon (⋮) in the Actions column and select Unassign to remove the learning path from the group. Confirm removal to revoke access for all current and future group members.

  • Bulk Actions: Select checkboxes next to learning paths to enable the bulk Actions menu for resetting progress, setting schedules, or unassigning multiple paths at once.
