How to Create and Manage Course Categories in Category Manager

The Category Manager in the KnowledgeCity LMS is a powerful tool that allows administrators to create and manage course categories with ease. Organizing courses into well-structured categories and subcategories helps learners navigate the course library efficiently and find relevant content quickly. This article explains how to access the Category Manager, create and manage categories, upload custom images, add subcategories, and assign courses to maintain an organized and user-friendly course library.

Steps to Follow

Accessing the Category Manager

  1. Log in to your KnowledgeCity LMS as an administrator.

  2. On the left side panel, locate and click on Category Manager.

  3. From the menu list, select Course Categories to open the course categories details page.

Course Categories Page: Controls and Overview

The Course Categories page opens, displaying all existing categories and subcategories within your portal. At the top of the page, you will find the following controls:

  • Language Selector: Switch between available languages tabs (e.g., English, Arabic) and manage category names and settings for different language versions of your portal.

  • Category Name: Enter a unique name for a new category in this text field.

  • Create Category: Click this button to create a new category with the new category name.

  • Drag and Drop: You can click and drag any category or subcategory using the drag handle to rearrange their order in the list, determining how they appear in the portal course library.

  • Add Subcategory: Click this option to create a new subcategory directly under the current category. The new subcategory will appear in the list and can be further configured.

  • Remove: Click this option to delete the category entirely. A confirmation prompt will appear before removal.

For each category listed, you can view its name and access the Settings option to configure the associated category image. Additionally, each category and subcategory displays its status as a Featured Category, indicating whether it appears in the Featured Categories section on the Learning Portal homepage. The Show in Course Library toggle controls the visibility of the category within the portal’s Learning Library menu. Disabling either toggle removes the category’s visibility from the Learning Portal homepage.

Managing Category Settings

When you click the Settings icon under the Actions column for any category, you can configure the following options:

  • Category Image: Upload a custom thumbnail image that will represent this category on the learning portal. Acceptable formats are JPG or PNG with a minimum resolution of 1180 x 664 px. For best results, use 1600 x 900 px images.

  • Image Preview: Once uploaded, a preview of the image will appear, allowing you to verify the selection.

  • Remove: Click this option to delete/ change the category image if required.

Managing Subcategories

Each subcategory in the list has its own set of controls:

  • Move to Category: Click this option to open a popup window where you can select a different parent category for the subcategory. Choose from the dropdown and click Move to relocate it.

  • Add Subcategory: Create a new sub-subcategory under the current subcategory. The new subcategory will appear in the list and can be further configured.

  • Remove: Delete the subcategory from the list.

Adding and Managing Courses

Within each subcategory, you can select and assign specific courses:

  • Courses Dropdown: Use the dropdown menu to search and select courses by name or ID to add them to the current subcategory. Selected courses will appear in the list below.

  • Courses Table: Once added, courses are displayed showing their Course ID and Course Name. Each course row includes an individual Remove button for deletion.

  • Bulk Removal: Use the checkboxes on the left side of each course row to select multiple courses. Once selected, you can perform a Bulk Removal to delete several courses from the subcategory simultaneously.

Saving Your Changes

After making any modifications to categories, subcategories, images, or course assignments, you must save your changes to publish them to the portal:

  1. Scroll to the bottom of the page.

  2. Click the Save Changes button in the bottom left corner.

  3. A confirmation message will appear at the top of the page indicating that the portal was successfully published.

  4. Your updated course category structure will now be visible to learners in the Home page of Learning portal.
