Introduction
Managing licenses effectively is a critical part of administering the KnowledgeCity Learning Management System (LMS). This guide will walk you through the steps to assign, un-assign and manage license rotations in your KnowledgeCity LMS.
Steps to Follow
Accessing the Licenses
Navigate to the Licenses section in the left panel of the LMS.
Within the Licenses page, view your active subscriptions. Each listing includes key details: Subscription Name, Content Access, number of Licenses Available, License Rotations Remaining, Access Period, and Subscription Status.
Select the required subscription to open its details page.
Within the subscription detail page, You will see an option to Assign License.

Assigning Licenses
Click the Assign License button to start the process of assigning a license to a new user.
A pop-up will appear where you can select one or multiple users to assign licenses to.
Optionally, filter users by group using the drop-down menu or by name using the search field.
Once you have selected the user(s) you want to assign licenses to, click Assign and save at the bottom of the pop-up.
After assigning, the user will appear in the list of licensed users with the corresponding status of their license.

Searching for Licensed Users
Use the search and filter controls at the top of the page to find specific licensed users. You can search by username or filter by group and license status. The list displays detailed information for each user, such as name, email, license status, and assigned dates.
Unassigning Licenses
To unassign a license:
Select the user whose license you intend to unassign.
Click the Unassign button in the Actions column on the right side of the page.
A confirmation popup will appear to confirm your intent to unassign the license.
Once unassigned, the license becomes available and can be reassigned to another user via the Assign License feature.
You can also unassign licenses in bulk by selecting the checkboxes in the Actions column and using the bulk action menu. Unassigned licenses can be reassigned to another user. If your plan includes license rotations, this action may consume a rotation.
Managing License Rotations
License rotations allow you to move a license from one user to another, helping you manage turnover or role changes without increasing your overall license count. This process involves un-assigning the license from a current user and re-assigning it to a new one. While your total number of licenses stays the same, each rotation consumes one of your available rotations as defined by your subscription.
How to Rotate a License
Check Remaining Rotations: Inside Licenses section, review your subscription name and the number of license rotations you have left.
Un-assign the Existing User: Search the user you want to remove the license for and click Unassign. Remember, this action reduces your remaining rotations by one but frees up a license seat.
Assign to the New User: Find the newly available license in the list, click Assign License, search for the new user, and confirm the assignment.
