The Course Report by Assignment Source focuses on assigned courses showing not just what users are taking, but how they received the assignment. Use this report to track who has started, viewed, or completed assigned courses, and to understand when and how each training requirement was delivered to your learners. Steps to Follow

How to Create a Custom Course Report by Assignment Source Template

The Report Generation tab contains predefined templates that come with your KnowledgeCity LMS, along with any custom templates you have previously created. If the default template meets your needs, you can run it directly. To create a new custom template with specific fields and settings, follow the steps below.

  1. Navigate to Reports > New Report Template.

  2. From the Report type dropdown, select Course report by Assignment Source.

When you select this report type, the system automatically populates default fields, along with default template name, language, description, and title style, all of which you can customize to suit your needs.

  1. Configure your template:

Select the preferred language for report output

Provide a brief description (up to 500 characters) to clarify the report's purpose

Title style

Format the report title using bold, italic, underline, font size, alignment, and title text and background color options

Toggle to add your portal logo to the report output

Default Fields in This Report

  • Student Groups: All groups the user belongs to.

  • Group: The specific group through which the assignment was made.

  • User Name: The user's unique login identifier.

  • Date of Birth: The user's birth date.

  • Course ID: Unique identifier for the course in the LMS.

  • Course Name: Official name of the course.

  • Begin: Date the user started the course.

  • Begin time: Time the user started the course session.

  • Watched: Date the user fully viewed all course content.

  • Watched time: Time viewing was completed.

  • Passed: Date the user passed the course.

  • Passed time: Time passing criteria were met.

  • Certificate: Certificate number issued upon completion.

  • Score: Highest score achieved on course quizzes.

  • Course status: Current progress (Not Started, In Progress, Viewed, Passed).

  • Assigned through: Whether assignment came from a group or individual source.

  • Group: Name of the group through which the assignment was made.

  • Parent Groups: Full group hierarchy showing assignment path.

  • Original assignment date: Date when the course, course list, or learning path was first tied to the user.

  • Assignment date: Date when the assignment was created or reassigned.

  • Learning Path Name: Name of the learning path that delivered the course.

  • Name of the course list: Course list name within the learning path.

  1. Customize columns using the rows adjustment section:

    • Click Add column to include additional fields.

    • Drag and drop columns to reorder if required.

    • Click the Edit button on any column to format, style, or add conditional rules.

    • Click the Delete button to remove columns.

  1. Click Save template.

How to Generate the Course Report by Assignment Source

  1. Navigate to Reports > Report Generation.

  2. Locate your newly created Course Report by Assignment Source template.

  3. Click Run report.

The Run report button opens a configuration window where you can set the following parameters before generating the report:

Select which user group to include or All groups

Exclude disabled users

Select the checkbox to remove inactive users from the report

Time Zone

Choose the time zone for date calculations

Select a course list

Select this option to filter by a specific course list (a course list selection dropdown appears upon selection)

Learning path

Select this option to filter by a specific learning path (a learning path selection dropdown appears upon selection)

Select a course

Select this option to filter by a specific course (a course selection dropdown appears upon selection)

Individually assigned courses

Toggle to show courses assigned individually to users

Not Started / In Progress / Viewed / Passed

Checkboxes to filter by progress status (multiple selections allowed)

Include Previous Course Cycles

Select the checkbox to show earlier cycles/ attempts for the same course and user

Include not assigned courses

Select the checkbox to include courses where users have activity but no formal assignment

Include archived students

Select the checkbox to include achieved users in the report

  1. Click Create and proceed to the Reports tab, locate your report on the top of the list and click the Download button to export.

Example Use Cases

  • Audit how a course was assigned: Filter by a specific user(s), then review the Assigned through, Group, Learning Path Name, and Assignment date columns. This tells you whether the course came from an individual assignment, a group enrollment, or a learning path and when it was assigned.

  • Check completion for a required assignment: Filter by the relevant group and course. Review Course status to identify who has passed, who is in progress, and who has not started.
