Account Learning Process: How to Customize Course Defaults and Preferences

Introduction

The Learning Process tab is the third of five configuration sections within Account Settings. This is where you define how users interact with courses and learning materials in your KnowledgeCity LMS. Proper configuration here shapes the learning journey by controlling content access, lesson navigation, video playback behavior, and certificate availability. These settings directly impact user experience and ensure content consumption aligns with your training objectives.

Steps to Follow

Accessing the Learning Process Tab

This guide covers the core configuration options available under Learning Process. Once you have familiarized yourself with the Account Settings section (as covered in: Understanding and Navigating Your Account Settings in KnowledgeCity LMS), you can now proceed with configuring your learning preferences.

Follow the steps below to access the Learning Process tab:

  1. Log in to your KnowledgeCity LMS as a Super Admin.

  2. Locate the Settings dropdown menu on the top panel of the LMS interface and select Account Settings.

  3. Click on the Learning Process tab to access the configuration options covered in this guide.

The Learning Process page is organized into several key sections: Library access for content visibility, Lesson controls for completion and playback rules, Assignment sorting for course organization, and Certificate access for user downloads.

Configuring Library Access

Library access determines how users can view and interact with available content in the learning portal.

Under the Library access section, click the dropdown menu and select one of the following options:

  • Open: All content is visible and accessible to users at any time

  • Closed: Library access is restricted

  • Closed until all assignments completed: Library remains closed until users complete all assigned courses

  • Custom per assignment: Library access is controlled individually at the assignment level. When enabled, assignments can be marked as Open (no restriction) or Closed (mandatory, blocks library access until completed). If a user has multiple mandatory assignments, all must be completed to regain library access. Configuring Lesson Completion and Navigation Rules

These settings control how lessons are marked as completed, how users can navigate through course content, and how assignments are organized.

Under the Learning Process tab, configure the following:

  • Show lesson as completed without fully viewing: Toggle this option ON to allow lessons to be marked as completed even if users haven't finished viewing them. Toggle OFF to require full viewing before marking as complete.

  • Fast forwarding through lessons: Click the dropdown menu to control lesson navigation:

    • Allow to fast forward: Users can skip ahead through lesson content

    • Don't allow for assigned courses: Fast forwarding is restricted only for assigned courses

    • Don't allow for all courses: Fast forwarding is disabled across all courses

  • User must watch lessons in sequence: Toggle this option ON to require users to view lessons in order, one after another. Toggle OFF to allow jumping between lessons.

  • Default sorting for assignments: Click the dropdown menu to determine the default order in which assignments appear to users:

    • By due date (ascending): Assignments are sorted with the earliest due dates first

    • By first assigned: Assignments are sorted based on when they were originally assigned

Configuring Playback Preferences

These settings control how video and course content behaves during user sessions.

Under the Learning Process tab, configure the following:

  • Autoplay lessons: Toggle this option ON to automatically play the next lesson when the current one ends. Toggle OFF to require users to manually start each lesson.

  • Pause video playback when user switches to a different tab: Toggle this option ON to automatically pause course videos when users navigate away from the course tab. Toggle OFF to continue playback in the background.

Configuring Certificate Access

This setting controls whether users can view and download their course certificates.

Under the Allow user to access certificate section, toggle the option:

  • Toggle ON to allow users to view and download their certificates upon course completion

  • Toggle OFF to restrict certificate access

Save Your Changes

After configuring your desired learning process settings, scroll to the bottom of the page and click Save to apply all changes. Changes will not take effect until the Save button is clicked.
