Summary
A step-by-step guide to configuring the Notification Settings tab in KnowledgeCity LMS, including General, License assignment, Reports & Reminders, and Email/SMS Notifications Schedule sections.
Introduction
The Notification Settings tab is the fourth of five configuration sections within Account Settings. This is where you manage all communication flowing from the LMS to users and administrators. Proper configuration here ensures stakeholders receive timely updates about assignments, overdue tasks, and license assignments while preventing notification fatigue. These settings keep your learning environment connected and informed without overwhelming inboxes.
Steps to Follow
Accessing the Notification Settings Tab
This guide covers the core configuration options available under Notification Settings. Once you have familiarized yourself with the Account Settings section (as covered in: Understanding and Navigating Your Account Settings in KnowledgeCity LMS), you can now proceed with configuring your notification preferences.
Follow the steps below to access the Notification Settings tab:
Log in to your KnowledgeCity LMS as a Super Admin.
Locate the Settings dropdown menu on the top panel of the LMS interface and select Account Settings.
Click on the Notification Settings tab to access the configuration options covered in this guide.
The Notification Settings page is organized into four sections: General, License assignment, Reports & Reminders, and Email / SMS Notifications Schedule.
Configuring General Settings
The General section contains master controls for user and administrator notifications, as well as line manager communication settings.
Under the General section, configure the following:
Enable notifications to portal users: Toggle ON to allow portal users to receive all system-generated and manually created notifications. Toggle OFF to disable most notifications.
Enable notifications to LMS admins: Toggle ON to allow LMS administrators to receive all system-generated and manually created notifications. Toggle OFF to disable most notifications for admins.
Line Manager notifications: Toggle ON to require users to enter their line manager's email when registering for events. The line manager will then receive notifications about the user's event participation status. Toggle OFF to disable.
Configuring License Assignment
The License assignment section controls whether users are notified when they receive a new license.
Under the License assignment section, configure the following:
Notify user when license is assigned: Toggle ON to automatically notify users when a license is assigned to them. Toggle OFF to disable license assignment notifications.
Configuring Reports & Reminders
The Reports & Reminders section controls automated email communications regarding user progress and overdue assignments.
Under the Reports & Reminders section, configure the following:
Send periodic progress reports to user via email: Toggle ON to automatically send users regular reports on their learning progress. When enabled, select the frequency from the dropdown: Without Report, Daily, Weekly, Biweekly, or Monthly. Toggle OFF to disable.
Send overdue reminder emails to users: Toggle ON to send users a one-time email listing their overdue assignments. Toggle OFF to disable.
Send overdue report emails to admins: Toggle ON to send designated administrators a report listing users who did not complete their assignments by the due date. When enabled, select recipients from the Recipients dropdown and enter additional email addresses in the Send copy to field (multiple emails separated by commas). Toggle OFF to disable.
Configuring Email / SMS Notifications Schedule
The Email / SMS Notifications Schedule section controls when notification emails are delivered to recipients.
Under the Email / SMS Notifications Schedule section, configure the following:
Sending notifications during business hours only: Toggle ON to restrict notification delivery to business hours only. When enabled, select the business days and set the start and end times for each day using the time pickers. Toggle OFF to allow notifications to be sent at any time.
Save Your Changes
After configuring your desired notification settings, scroll to the bottom of the page and click Save to apply all changes. Changes will not take effect until the Save button is clicked.
