Steps to Follow

Accessing the Communication Center

  1. Log in to your KnowledgeCity LMS as an administrator.

  2. Navigate to the Communication Center from the LMS left-side panel.

  3. The Communication Center page will open, displaying the main dashboard with two primary tabs: Scheduled and Sending Log, along with a Create notification button in the top right corner.

Communication Center Overview

The Communication Center is organized into two main tabs that serve different purposes:

  • Scheduled Tab: View and manage all notifications that are scheduled for future delivery, including one-time and recurring notifications.

  • Sending Log Tab: Access a complete history of sent notifications, including delivery status and recipient details.

  • Create Notification: Initiate the creation of a new notification. Selecting this option opens the notification setup window, where all configuration settings can be defined. For more details, see How to Setup a New Notification in Communication Center

Scheduled Tab: Controls and Listing

The Scheduled tab displays a table of all existing scheduled notifications. For each notification, you can see the Subject, Recipients, associated Learning Path or Course List, Next scheduled date, and Status with a toggle to enable or disable sending.

  • Search and Filters: Use the search field to find notifications by Subject, or apply dropdown filters for Groups, Users, Learning Paths, Course Lists, and Status. Click Reset Filters to clear all applied filters.

  • Subject: The title or subject line of the notification.

  • Recipients: Displays the list of all recipients before all conditions are applied.

  • Learning Path and Course List: Shows which Learning Path or Course List, if any, is associated with the notification.

  • Next On: Indicates the next scheduled date and time for the notification to be sent.

  • Status Column: Displays the current status with a toggle switch to directly Enable or Disable sending notification, allowing you to pause or resume scheduled notifications as needed.

  • Actions Menu: For each list item, the Actions menu provides Duplicate and Delete options. When duplicating, the notification is copied with all settings and opens in the notification details page with "(Copy)" appended to the original subject.

  • Bulk Actions: Use the checkboxes on the left side to select multiple notifications and perform a Bulk removal simultaneously.

Sending Log Tab: Controls and Listing

The Sending Log tab provides a complete history of all sent notifications along with their delivery status.

  • Search and Filters: Use the search field to find sent notifications by Subject, or apply dropdown filters for Notification Type, Groups, Users, and a Period date range. Click Reset Filters to clear all applied filters.

  • Subject: The title or subject line of the sent notification.

  • Recipients: Displays the intended recipients of the notification.

  • Type: Indicates the notification type (e.g., Immediate, Scheduled).

  • Sent Date: Shows when the notification was sent.

  • Status: Displays the delivery status (e.g., Completed, Failed).

  • Actions Menu: For each list item, the Actions menu provides Preview and Duplicate options. Duplicating copies the notification with all settings and opens it in the notification details page with "(Copy)" appended to the original subject.

Previewing Sent Notifications

When you click Preview from the Actions menu in the Sending Log tab, a detailed pop-up window appears with comprehensive information about the sent notification.

The Preview pop-up includes the following details:

  • Notification Subject: The subject line of the notification.

  • Sent On: The date and time the notification was sent.

  • Sending Condition: The condition that triggered the notification (e.g., Learning Path).

  • Learning Path and Status: The specific Learning Path and the status condition that triggered the notification (e.g., "Learning path was assigned to user").

  • Include License Types: Displays which license types were included (e.g., Unlicensed users, Expired license, Assigned license, Activated license).

  • Recipients and Message: Summary of who received the notification and the full message content.

  • Delivery Statistics: A summary showing Sent, Pending, and Failed counts including all the recipients details.

  • Generate Report: Click Generate Report to export a detailed delivery report for further analysis. Once the export process is started, a confirmation pop-up will appear with a link to the Reports section, where you can review and download the file.
